Party Terms & Conditions

1. Introduction

Thank you for choosing to celebrate your special occasion with us at Mega Kids World! These Party Booking Terms & Conditions apply to all party packages booked with us. Please read them carefully before making your booking.

 

 

2. Booking & Deposits

- A 50% deposit, based on your estimated number of children, is required to secure your booking.

- The deposit is non-refundable under any circumstances.

- Your booking is not confirmed until we receive your deposit payment.

- The final balance and confirmation of final party numbers must be paid at least 7 days before your party date.

- After final numbers and full payment have been received, reducing your party numbers is not permitted, and no refunds will be given for children who do not attend.

- If you wish to add more children, this can be done up to 24 hours before your party, subject to space and food preparation. Additional children will be charged at the standard party rate and can be added by calling us.

 

 

3. Guest List & Check-In

- We ask that you provide a list of the children attending your party by sending a list via email. First names only are fine.

- This allows your party host / receptionist to sign in guests for you, so you can relax and enjoy your time with family and friends.

- Every child’s parent/guardian must complete and submit our waiver form before the party. Waivers can be completed online and must be received before the party starts- we would prefer if you could collect all the waivers and send it to us in one email as the party owner.

- Any child without a completed waiver form will not be permitted to use the play frames but will be allowed to join the party in the party room.

- Your party host will request emergency contact numbers for each child on arrival to help with safeguarding. However, you remain responsible for all attending children throughout the party, and we recommend you keep a list of parents' contact details for your own reference.

 

 

4. Arrival & Set Up

- The party organiser should arrive 10 minutes before the party start time to meet the team and prepare.

- Your dedicated party room will be available to you for the entire duration of your party booking. You may leave your personal items and equipment in the party room; however, all belongings are left at your own risk, and Mega Kids World cannot accept responsibility for any loss or damage.

- Adults are welcome to sit in the party room or the café seating area during the party.

- Please note, once your party moves into the party room for food and cake time, your party will not return to the play frame, and this will mark the end of the play session.

 

 

5. Food & Cake

- Only food and drink purchased at Mega Kids World may be consumed during your party.

- This excludes food brought in for guests with severe allergies, which must be agreed upon with our team at least 7 days in advance.

- Exception: Guests with severe allergies may bring their own meal only if this has been agreed with the Mega Kids World team in advance. Please speak with us as early as possible so we can review your request.

- Please notify us of any dietary requirements or food allergies at least 7 days before your party date. While we will always try to accommodate special requests, we cannot guarantee full alternatives if notified later.

- If we are unable to safely cater for a specific allergy, guests may bring their own safe meal with prior agreement.

- The party organiser is responsible for providing clear information regarding allergies and ensuring safe arrangements are made in advance.

 

Cakes & Natasha's Law

- You are welcome to bring a birthday cake (or cupcakes), but it must comply with Natasha’s Law (UK Food Information Amendment). Only the following cakes are permitted:

- Professionally baked cakes with full ingredient and allergen labelling

- Shop-bought cakes in their original packaging

- Homemade cakes are not permitted due to allergy and food safety risks.

 

- For health and safety reasons, cakes cannot be eaten on site. Cakes will be cut and wrapped to take home in party bags. For Bronze Parties, the party organiser is responsible for cutting and wrapping the cake. For Silver and Gold Parties, your party host will assist with cutting and wrapping.

- If you prefer, a generic celebration cake can be purchased from our café. This must be arranged and paid for at least 7 days before the party, and it will not include personalised decorations.

 

 

6. Decorations

- You are welcome to bring freestanding helium or air-filled balloons.

- Balloons that require wall or ceiling fixing (e.g. confetti balloons, garlands, or hanging decorations) are not permitted for safety and facility protection reasons.

 

 

7. Party Supervision

- All children attending the party must be accompanied by a responsible adult (aged 18+) who will supervise them at all times. Mega Kids World staff do not provide childcare or supervision outside the party room. 

- The organiser is responsible for ensuring all guests adhere to our Rules of Play, which apply during party sessions.

 

 

8. Final Numbers & Payment

- Final numbers must be confirmed, and full payment made, 7 days before the party.

- After this point, no refunds or reductions will be made for children unable to attend.

- Any increases in guest numbers must be notified at least 24 hours prior to the party and will be charged at the applicable party rate. Payment for additional guests can be made on the day but you must inform the centre of additional people at least 24 hours prior to the party start time.

 

 

9. Cancellations & Rescheduling

- Deposits are non-refundable.

- If you need to cancel, we will work with you to reschedule your party, provided you give us at least 5 days’ notice. Rescheduled dates are subject to availability.

- Cancellations with less than 7 days' notice will result in loss of deposit and any payments made.

 

 

10. Risk & Conduct

- Parties are subject to our general Rules of Play & Supervision as detailed in our Pay & Play Terms & Conditions.

- Any guests displaying disruptive, abusive, or unsafe behaviour may be asked to leave the premises.

 

 

11. Force Majeure

- If an unforeseen event outside of our control prevents your party from taking place (such as severe weather or technical issues), we will reschedule your booking to a future available date. Refunds will not be provided in these circumstances.
